Een gemiddelde MKB’er besteedt maandelijks 16 uur en 53 minuten aan de financiële administratie, wat gelijkstaat aan twee volledige werkdagen die hij niet aan zijn voornaamste werkzaamheden kan besteden. Het is een van de conclusies uit het tweede deel van Basware’s MKB Finance-onderzoek.
Binnen deze twee dagen behoren het beantwoorden van leveranciers- en klantvragen (2 uur en 19 minuten), het opstellen en verzenden van facturen (1 uur 55 minuten) en herzien van te betalen facturen (1 uur en 45 minuten) tot de meest tijdrovende activiteiten. Dit valt samen met de bevinding dat in Europa bijna de helft van alle MKB-directeuren (46%) van mening is dat hun bedrijf geen duidelijke procedure heeft voor het voldoen van facturen (38% in de VS). Vergelijkend: 52% van de Amerikaanse medewerkers gelooft niet dat er een duidelijk beleid is voor het benaderen van klanten voor onbetaalde facturen, waardoor het MKB kwetsbaar blijft voor cashflow-uitdagingen.
Het MKB Finance-onderzoek is in opdracht van Basware uitgevoerd en gebaseerd op interviews met 558 eigenaars en 1.368 werknemers met financiële verantwoordelijkheid van kleine tot middelgrote bedrijven Groot-Brittannië, de Verenigde Staten, Zweden, Duitsland, België en Nederland.
Het onderzoek stelt zich ten doel het MKB te informeren over de uitdagingen bij bedrijfsgroei. De resultaten dienen ondernemingen te helpen bij het inzichtelijk maken van investeringen in mensen, processen en technologieën wanneer kleine organisaties willen uitbreiden.
Er blijken ook onduidelijkheden tussen directeuren en medewerkers omtrent binnenkomende en uitgaande facturen. Volgens deze directeuren doet een Europese organisatie er acht en een Amerikaanse vier dagen over een factuur te voldoen nadat hij is ontvangen en verwerkt. Medewerkers zien dit anders: volgens hen duurt dit in Europa namelijk tien dagen en in Amerika zeven dagen voordat een transactie volledig is voltooid.
Het ontbreken aan duidelijkheid wordt nog eens versterkt door het feit dat een significant percentage van de organisaties facturen nog steeds handmatig afhandelt. Dit zijn kostbare manuren binnen een financieel proces. 64% van Europese MKB-bedrijven stuurt handmatige facturen naar hun klanten (vergeleken met 40% in de VS), terwijl 77% facturen handmatig goedkeurt en betaalt.
Het MKB wordt groter en implementeert steeds vaker geautomatiseerde processen, maar ze hebben nog wel te maken met kleinere organisaties die er handmatige, papieren processen op nahouden. Het onderzoek stelt voor dat micro-organisaties de relatie met hun leverancier kunnen verbeteren wanneer ze op een geautomatiseerd factuurproces overstappen. Op deze manier kunnen ze beter op andere bedrijven aansluiten wanneer er transacties worden voldaan.
Jörgen Hensgens, Vice President Basware Benelux: “Ondanks dat het MKB veel moet schuiven met beschikbare budgetten in deze economisch uitdagende tijd besteden medewerkers binnen deze sector veel tijd aan werkzaamheden die niet binnen hun takenpakket liggen. Het onderzoek geeft aan dat het aanboren van deze extra manuren wordt veroorzaakt door inefficiënte financiële processen en handmatige activiteiten die kleine organisaties er van weerhouden om succesvol zaken te doen met leveranciers en afnemers. Het zijn onderwerpen die moeten worden besproken als een bedrijf groei en een gezonde cashflow voor ogen heeft. Door het automatiseren van de financiële processen verlicht het MKB de druk op zijn medewerkers, wordt het aantal handmatige fouten gereduceerd en wordt groei door een goedlopende financiële afhandeling gestimuleerd.”
De onderzoeksresultaten en de prioriteiten in het huidige financiële klimaat:
- Eigenaren van middelgrote ondernemingen zijn bezorgd over strategie: 53% in de VS is meer gefocust op budgettering (27% in Europa);
- Een grotere focus: met meer tijd die wordt gespendeerd aan financiële planning kunnen middelgrote bedrijven verder vooruitplannen (gemiddeld achttien maanden), vergeleken met vijftien voor kleine ondernemingen en tien maanden voor micro-organisaties;
- MKB onderweg: 74% van de Europese en 89% van de Amerikaanse directeuren bekijkt hun financiële boekhouding buiten werktijd, waarvan iets minder dan de helft dit in het weekend doet.
